Building your event schedule

Create a day-by-day schedule with rooms, time slots, and instructor assignments.

The schedule builder lives on your event’s dashboard under the Schedule tab. It gives attendees a clear day-by-day view of what’s happening and where.

Setting up venues and rooms

Before adding schedule items, set up your venue and rooms from the event dashboard. Rooms represent physical spaces (main ballroom, classroom 1, social hall). Each schedule item can be assigned to a room so attendees know exactly where to go.

Adding schedule items

Click a time slot on the timeline or use the New item button. Each item needs:

  • Title (e.g. “Beginner Lindy Hop”, “Evening Social”, “J&J Prelims”)
  • Start and end time in the event’s timezone
  • Room assignment (optional but recommended)
  • Pass categories to indicate who has access

You can also link items to competition rounds and tag instructors. The system pre-fills the title when you create an item from a competition round.

The timeline view

The schedule displays as a visual timeline organized by day and room. Items appear as blocks you can click to view details, edit, or delete. Conflicts (overlapping items in the same room) are flagged automatically.

Quick-create lets you click directly on an empty slot in the timeline to add an item at that time and room.

Managing items

From the timeline, click any item to edit its details, duplicate it for another day, toggle its publish status, or delete it. Unpublished items are hidden from the public schedule but still visible to organizers.

Good to know

  • Schedule items respect your event’s timezone. All times display in the event’s local time.
  • You can duplicate items to quickly set up recurring slots across multiple days.
  • The public event page shows only published schedule items, so you can build the schedule in advance and reveal it when ready.
